One chat, two sides of the books

For businesses

  • Photograph receipts the moment you get them
  • Staff send their own receipts and claim expenses
  • Approve staff claims and mark them paid
  • Forward supplier invoices from Gmail or Outlook to your own Pennies address
  • Keep a SARS travel logbook by text or voice note
How Pennies works for businesses

For accountants and bookkeepers

  • Every client's receipts in one dashboard, by month
  • A review queue with the photo beside the details
  • Duplicates and unreadable receipts flagged before you post
  • Ask a client about a receipt on WhatsApp, from the dashboard
  • Export to Excel, CSV or Xero – nothing exported twice

See it in action

Two everyday jobs, start to finish – sample data, real screens.

A receipt from the till to the books: WhatsApp, the owner's dashboard, the bookkeeper's review queue. Sample data.

Supplier invoices by email, too

Every business gets its own Pennies email address. Forward supplier invoices to it – or let a Gmail filter do it – and they're read and filed with your receipts, and offered to the right project. How to set it up

Example with made-up suppliers and amounts.

What you'll see

Receipts land in a dashboard for the business owner and another for the accountant – each opened with a code sent to your WhatsApp.

How it works

  1. Save the number

Start your trial from this page. WhatsApp opens with a message ready to send – Pennies sets you up in the chat.

  2. Send receipts as they happen

Photo or PDF, one at a time or a dozen together. Add a few words or a voice note about what it was for.

  3. Your accountant takes it from there

Everything is filed by month with the supplier, date and amount, ready to process.

What Pennies checks on every receipt

The details
Supplier, date, amount and invoice number are read off every receipt, so nothing is typed by hand.
Duplicates
The same receipt sent twice, or an invoice and its card-machine receipt for one purchase.
Readability
Faded or cut-off receipts are caught while you still have them, so you can send a clearer photo.
Currency
Each receipt keeps its own currency – rand, pounds, euros or dollars – with nothing converted behind your back.
What it was for
Pennies asks for a reason and remembers the usual one for each supplier.
Who paid
Staff mark own money or company card, so expense claims add up.

Built by accountants. Pennies was built inside a SAIPA-registered accounting practice in South Africa to collect its own clients' receipts, and is used with those clients today. Every feature started as a month-end problem.

Simple pricing

Business R249 a month. Practices R250 a month plus R69 per active client. Both start with 14 days free. Also priced in pounds, euros and dollars.

Questions

What is Pennies?

Pennies is a WhatsApp service that files receipts, till slips and supplier invoices for small businesses and their accountants. You send a photo or PDF on WhatsApp; Pennies reads the supplier, date and amount, asks what it was for, and files it by month where your accountant can see it.

How do I send receipts to my accountant?

Save the Pennies number, send a photo of each receipt on WhatsApp and add a few words about what it was for. If your accountant uses Pennies, they see it straight away. If they don't, invite them from your dashboard – accountants join free on the Business plan.

Do I need to download an app?

No. Pennies works inside WhatsApp, which you already have. Owners and accountants also get a web dashboard, opened with a one-time code sent on WhatsApp.

Is there a free trial?

Yes. Every plan starts with 14 days free. No card is needed to start. The trial reads up to 75 receipts; anything after that is saved and read once your plan starts.

How much does Pennies cost?

The Business plan is R249 a month for an owner and up to 5 staff, including 200 receipts a month. The Practice plan is R250 a month plus R69 for each client who sends receipts that month, including 60 receipts per client. Extra receipts are R1 each on both plans. Prices are in South African rand.
