Pennies

Terms of service

Last updated 2 November 2026

These terms apply to Pennies, a service operated by RandWise ("we", "us"). By starting a trial or using Pennies you agree to them. If you use Pennies for a business or practice, you accept these terms on its behalf.

1. What Pennies does

Pennies receives receipts, invoices, notes, voice notes and trip details on WhatsApp, reads the details on each document, files them, and makes them available on dashboards to the business owner and to the accountant or bookkeeper the business links to. It also prepares expense claims, travel logbooks and exports.

2. Your account

Your account is tied to your WhatsApp number. Keep your phone and dashboard sign-ins secure: anyone who controls your WhatsApp number can sign in as you. Owners decide who joins their business as staff and which practice it is linked to; practices decide which of their bookkeepers see which clients.

3. Trials and plans

Each plan starts with a 14-day free trial; no card is needed. After the trial, Pennies continues on the plan you choose at the price on the pricing page. Usage over a plan's included receipts is charged per receipt at the published rate. A trial reads up to 75 receipts; receipts sent after that are saved and read once the plan starts. During a trial, Pennies may also pause reading (never saving) for a number that sends an unusual volume in one day; those receipts are read the next day. We give at least 30 days' notice of any price change.

4. Payment

Plans are billed monthly in advance. If a payment fails, we'll let you know; if it is still unpaid after 14 days we may pause the account. Your documents are kept and the account restarts once payment is made. Pennies is not registered for VAT, so no VAT is added to the prices shown; if that changes we will give at least 30 days' notice.

Referrals

If someone signs up through your referral link, their free trial is 30 days. Once their account has paid for two months, R250 comes off your next invoice, up to R1,000 of referral credit per calendar year. Credit can't be exchanged for cash, and we may withhold it for sign-ups that aren't genuine new customers.

5. Cancelling

You can cancel any time by messaging cancel subscription to Pennies on WhatsApp or emailing hello@penniesapp.com. See cancellations and refunds for what happens next.

6. Checking the results

Pennies reads documents automatically. It is accurate most of the time, but not always: amounts, dates, VAT details and duplicate flags must be checked before they are relied on for accounting or tax. Pennies does not give accounting, tax or legal advice, and decisions about what is claimable stay with you and your accountant.

7. Your content

You keep ownership of everything you send. You give us permission to store and process it to run Pennies for you, as set out in the privacy policy. Only send documents you're entitled to share with the business and its accountant.

8. Acceptable use

Don't use Pennies for anything unlawful, to send content that isn't related to business records, to try to access other people's data, or to overload or interfere with the service.

9. Availability

We aim to keep Pennies running at all times but can't promise it will be uninterrupted. WhatsApp is provided by Meta, and its availability and rules are outside our control. We back up data nightly.

10. Liability

To the extent the law allows, we are not liable for indirect or consequential loss, and our total liability in any 12 months is limited to the fees you paid us in that period. Nothing in these terms limits rights you have under the Consumer Protection Act or other law that cannot be excluded.

11. Ending the service

We may suspend or close an account that breaks these terms. If we ever stop offering Pennies, we'll give at least 60 days' notice and a way to download your documents.

12. Changes and law

We may update these terms and will tell you about material changes before they apply. These terms are governed by the law of South Africa.
