A Dext alternative your clients will actually use
Receipt-capture apps work well when clients use them. The hard part is getting clients to install one more app and remember to open it. Pennies starts from the app they already have open: WhatsApp.
| Pennies | Typical receipt-capture app | |
|---|---|---|
| How clients send receipts | A WhatsApp photo, PDF or voice note | Their own app, email-in address or upload |
| Client sign-up | Tap a link, press send | Download, create an account, log in |
| "What was it for?" | Asked in the chat and remembered per supplier | Usually left to the accountant |
| Questions to the client | Sent on WhatsApp from the dashboard; answer saved on the receipt | Email or a separate message |
| Staff expense claims | Included | Often a separate product |
| Travel logbook | SARS-style, by text or voice note | Not usually included |
| Price for practices | R250 a month + R69 per client who sends receipts that month | Per client or per document, often in dollars or pounds |
Where the other tools are stronger
Dext, AutoEntry and Hubdoc connect directly to accounting systems such as Xero and QuickBooks, and some read line items on large supplier invoices. Pennies exports a Xero bills CSV and a general CSV and Excel file instead. If your practice runs on fully automated bank-feed matching, check that the exports fit your workflow during the trial.
Using both
Some practices keep their existing tool for large-volume clients and use Pennies for the clients who never open it. Pennies only charges for clients who actually send receipts in a month.
Questions
Can I import Pennies receipts into Xero?
Yes. Export a Xero bills CSV for any period and import it as draft bills. Receipts already exported are skipped next time.
Do clients pay anything?
No. On the Practice plan your clients use Pennies free.
