Staff expense claims, without the spreadsheet

When staff pay for things with their own money, getting them paid back usually means a spreadsheet, a stack of receipts and a lot of back and forth. With Pennies it happens in WhatsApp.

How it works

1. Staff send each receipt to Pennies on WhatsApp and tap My own money.
2. When they're ready, they send claim. Pennies shows the list and total; they can take a line off with claim remove 2, then send it.
3. You get the claim as a PDF with every receipt attached, and three buttons: Approve, Query, Reject. Or decide on your dashboard.
4. Once you've paid them back, tap Mark as paid. The staff member is told at every step.

Checks on every claim

Pennies flags receipts that look like duplicates (including ones already on another claim or paid by company card), old receipts, and mileage above the SARS prescribed rate, so you see the problems before you approve. Near month-end, staff with unclaimed receipts get a reminder.

For your accountant

Approved claims reach your accountant with the claim pack, and practices can export every approved claim as one CSV.
